At AmberRiverTrail, we recognize that plans can change, so we offer a clear refund policy. This document provides the conditions when refunds for yacht charter services may be given.
Before confirming a reservation, please review this policy thoroughly. By reserving a charter with AmberRiverTrail, you are consenting to these refund conditions.
Cancellation and Refund Schedule
Over 72 Hours Prior to Charter
Refundable: Full amount minus transaction fees
Time Required for Processing: 5-7 working days
Transaction Fee: €50 for card payments
Requirements: Must be requested via written correspondence such as email or a phone call
Between 24 and 72 Hours Prior to Charter
Refundable: Half of the total charter cost
Time Required for Processing: 7-10 working days
Transaction Fee: €25 deducted from the refund amount
Requirements: Valid justification needed; administrative costs involved
Less than 24 Hours Prior to Charter
Refundable: Not eligible for refund
Exception: Consideration given to emergency cases
Alternate Option: A charter credit may be given at our discretion
Requirements: Proof required for emergency situations
Cancellations Due to Weather
Our Guarantee Regarding Weather
Your safety is of paramount concern. If our captain, who is fully qualified, deems weather conditions unsafe for charter, we offer the following alternatives:
- Complete Refund: A full refund if rescheduling is not possible
- Reschedule: You may shift your charter to another date without incurring extra costs
- Charter Credit: A credit that is valid for one year from the date of the original charter
Process for Weather Evaluation
Our weather assessment is based on the following criteria:
- Evaluation of wind velocity and direction
- Measurement of wave height and sea conditions
- Forecasts of visibility and precipitation
- Maritime advisories and notifications from authorities
- Captain's judgment on maritime safety
Timeline for Decisions: Decisions regarding cancellations due to weather are made no later than 4 hours before the intended departure time.
Refunds for Medical Emergencies
Circumstances of Urgency
We empathize with clients in the event of medical emergencies. Under these circumstances, special considerations may apply:
- An abrupt illness or injury necessitating hospital care
- A death in the immediate family
- Compulsory military assignments or urgent recalls
- Mandatory court appearances or jury duties
- Natural disasters impacting travel plans
Requirements for Documentation
Supporting documents are needed to process requests for refunds due to emergencies:
- A certificate from a medical professional or hospital paperwork
- A death certificate, if relevant
- Orders from the military
- Summons for court or notice for jury duty
- Emergency decrees or travel alerts
Procedure: Upon submission of the necessary documents, emergency refunds are processed within 3-5 business days.
Cancellations Due to Operational Issues
Technical Difficulties with the Vessel
If the yacht allocated to you encounters unsolvable mechanical issues:
- Substitute Vessel: We'll make an effort to offer a similar substitute yacht
- Total Refund: Provided when no appropriate alternative exists
- Refund of the Difference: If the substitute vessel has a different fee
- Compensation: We may provide additional recompense for the inconvenience
Unavailability of Crew
In the unlikely event that the required certified crew is unavailable:
- We'll arrange a replacement crew if feasible
- Full refund if the charter cannot proceed as planned
- Opportunity to reschedule without any additional charges

Refunds will be returned via the original payment method:
- Cards: 5-7 business days
- Bank Wires: 7-10 business days
- Cash/Cheque: 3-5 business days
